The reservation exists; the relationship does not
The guest booked on an OTA. The hotel sends a “we look forward to seeing you.” There is no thread for late check-out, a crib, a transfer, or a diet.
Hotels and travel
Hotels, chains, and operators live on inventory and reputation. The pain is the relationship: Booking holds the reservation, pre-stay is a generic email, front desk never saw the Instagram chat, and the conference group arrives as if they were walk-ins.
Independent hotels Chains Operators MICE and groups
A guest (or a group) with a reservation, preferences, pre-stay upsell, conversational check-in, and post-stay. The PMS remains the system of record. MEXA holds the experience around it.
Real friction
Every message the OTA intermediates is a guest who will not return on a direct channel. Every late upsell is spa inventory or a late check-out that walked away.
The guest booked on an OTA. The hotel sends a “we look forward to seeing you.” There is no thread for late check-out, a crib, a transfer, or a diet.
Instagram promised an ocean view. Front desk found out at check-in. The conflict is born from systems that do not talk.
A seminar asks for 40 rooms by email. Quote, rooming list, and breaks live in separate threads.
There is no reactivation of a repeat guest, and no seasonal offer based on the kind of stay they already lived.
What to orchestrate first
The most profitable case is usually WhatsApp pre-stay + direct booking. The booking engine is not thrown out: it is surrounded.
After the booking (direct or OTA), the hotel opens a conversation: early check-in, upgrade, transfer, crib. Front desk sees the same notes.
Why it works. Turns an already-paid reservation into incremental margin and avoids surprises at the desk.
The website or the ad does not send them only to the engine. The guest asks, compares dates, and books with the same context. The hotel recovers the relationship.
Why it works. Lowers OTA-commission dependence without fighting the channel. It is the most useful journey for independents.
The guest asks for towels, late checkout, or a restaurant in the same reservation thread. They do not give the room number again as if they were a stranger.
Why it works. Takes load off the front-desk phone and leaves a trail of what was promised.
The group request enters as a case: dates, pax, meeting room, meals. Quotes and changes are not lost in email CC.
Why it works. MICE pays well and is operated poorly when the file is an Outlook thread.
Success case (format)
Illustrative journey. Not a named customer. A MEXA case is published with a name when there is a full journey and evidence that can be told honestly.
A hotel stops meeting the guest at check-in. The reservation opens a pre-stay thread that front desk also sees.
Problem
Requests landed in an email. The upgrade was offered late. Instagram complaints did not exist for front desk.
Strategy
Any booking source opens pre-stay. Operations and marketing share the profile of that stay.
Experience
WhatsApp for transfer, crib, and times. A human joins if the request leaves the repeatable path.
Implementation
PMS integration or reservation import, WhatsApp, extras catalog, and front-desk roles.
Result
You see what was offered, what was accepted, and what was complained about. The review stops being the first real conversation.
No. Inventory and rates stay there. MEXA orchestrates the relationship around the reservation.
Owned pre-stay is still the most useful case: the guest already paid; now you can talk to them yourself.
Concerts, seminars, trade shows, and conferences already have ticketing. The pain starts after payment: a generic confirmation, room change…
QSR chains, full-service restaurants, and delivery operations already have a menu, a location, and a rider. What breaks is the conversation…
Booking should not break the journey. In MEXA, the appointment is born from the same thread as the ad, the form and the conversation.
Your customers are already on WhatsApp. MEXA makes that conversation open and continue an asset: product card, quote, form or booking, with…
